Plastic Solutions Fund (PSF) is a global, U.S.-based philanthropic collaborative dedicated to tackling the crisis of plastic pollution, which threatens both human health and ecosystems worldwide. 

Since its founding in 2017, PSF has focused on systemic, preventive interventions across the entire plastic lifecycle—from extraction to disposal. Recognizing that the plastics economy is driven by (and benefits) some of the most powerful vested interests worldwide, PSF is dedicated to building grassroots movements to drive meaningful change now and in the future.

THE OPPORTUNITY 

The PSF Operations and Finance Assistant ensures the seamless implementation of PSF’s financial and operations systems and processes in alignment with the organization's strategies and values.

Collaborating with all PSF teams, this role manages the systems used to track, report, and communicate critical financial, organizational, and operations data—such as accounting and general ledger, contracts database, and invoice management—ensuring they are consistent, efficient, and effective. The Operations and Finance Assistant supports the effectiveness of financial tracking systems by regularly reviewing them to meet the evolving needs of PSF. Additionally, they help identify opportunities for greater integration and automation to enhance operational efficiency.  

Reporting to the Managing Director, the Operations and Finance Assistant will have the following primary responsibilities: 

Systems Support and Maintenance 

  • Help support the design, integration, and maintenance of PSF data management and communication systems. 

  • Support the Managing Director in addressing feedback and support queries related to PSF tools, systems, and processes. 

  • Assist with creating user manuals and guidelines for PSF tools and systems. 

  • Manage relationships with system and tool providers. 

Operations Assistance  

  • Handle contracting, vendor registration, billing, and invoicing processes. 

  • Coordinate contracts and invoices, ensuring accurate file and database maintenance. 

  • Review and process operational and program expenses for team members. 

  • Ensure HR, financial, and legal records are maintained in compliance with established procedures. 

  • Review and reclassify expenses from monthly fiscal agent financial reports.  

Meeting Support & Logistics 

  • Coordinate logistics for international events, including team gatherings. 

  • Schedule team meetings. 

  • Assist the Managing Director with travel logistics as needed. 

QUALIFICATIONS & EXPERIENCE 

The Operations and Finance Assistant role requires a collaborative team member with excellent information management skills.   

While candidates can come from a range of backgrounds, the ideal candidate exhibits many of the following attributes and experiences described below, but need not possess them all for consideration: 

  • 3+ years of work experience in information management, administration, operations, or other relevant area. Experience with grants, philanthropy, and knowledge of environmental issues is a plus. 

  • Highly detail-oriented with the ability to successfully coordinate and facilitate effective and seamless organizational processes.  

  • Excels at working independently and collaboratively with cross-functional teams and a diverse representation of people. 

  • Exceptional written and verbal English communication skills. 

  • Strong time management and organizational skills and able to maintain productivity despite frequent interruptions. 

  • Proficiency in data management, spreadsheets, online systems, and information management. 

  • Advanced expertise in Google Workspace (Gmail, Docs, Sheets, Drive) and other online systems. 

  • Experience working in a remote team environment, with the flexibility to work across time zones. 

TRAVEL 

This role will require travel to the United States at least 1-2 times a year for organizational meetings.  

LOCATION  

This remote position is based in Mexico with a preference that this individual be based in Mexico City.  

COMPENSATION & BENEFITS  

The hiring salary range for this position is MX$ 461,869 - MX$577,336 annually with an anticipated starting salary dependent upon the qualifications and experience of the hired candidate.   

In addition, PSF offers a comprehensive benefits package that includes:   

  • Paid Time Off: 25 vacation days plus four additional days during the Christmas to New Year holiday shutdown. In addition, PSF recognizes public holidays as stated in local labor laws.
